Seller Terms
On This Page
These are the terms for selling or trading cards to AVA TCG LLC ("AVA", "we", "us"). By submitting a lot on avatcg.com you agree to them, along with our Terms of Service and Privacy Policy. We wrote them in plain language on purpose. If anything is unclear, email ryan@avatcg.com before you ship.
1. Who We Are
AVA TCG LLC is a Virginia limited liability company doing business as AVA TCG and AVA | The Card Gallery. Our ship-in address is AVA TCG, 42020 Village Center Plaza, Ste 120-191, Aldie, VA 20105. Local drop-offs are by appointment: reply to your confirmation email to set a time.
2. What Happens When You Submit
Every submission is accepted. When you submit, your rate and your rate tier are locked for 14 days and we email your lot number, packing slip and where to ship or drop off. Pack it and send it within those 14 days.
Singles, slabs and sealed are reviewed and offered. Bulk is always bought at the published rates. Singles worth $5 or more, slabs and sealed are reviewed item by item, and your report makes an offer on each one, up to the Collection and Slabs card rates. Store credit is always offered; cash is offered item by item. For each item you can accept the offer, take store credit instead, or decline it. Declined items are returned with shipping at your cost, or held for free local pickup. If you don't answer within 72 hours of your report being ready, each open offer is paid in store credit at the offered amount. Your bulk is paid when your report is approved and doesn't wait on these answers. Singles worth under $5 are paid at the bulk rate for their card type.
Lots are worked in the order they arrive, except lots that chose to skip the line (see §7), which go ahead in the order they skipped. Your report is ready within 48 hours of the day we start your lot (over $50,000 or vintage: up to 7 business days). Once AVA approves your report, your cash or store credit is issued within 24 hours of that approval.
You must be 18 or older to submit, or a parent or legal guardian submitting on behalf of a minor. By submitting you confirm you own the cards (or have the owner's permission to sell them) and that they are not stolen, borrowed or subject to anyone else's claim.
3. Rate Tiers and Sorting
Five rates. Bulk rate cards pay Cash · Sorted, Trade · Unsorted, Trade · Sorted, Active · Active Role and Monitor · Best Rate. Trade, Active and Monitor are paid in AVA store credit. The Collection and Slabs cards pay Cash · Trade · Monitor.
Sorted means one card type per stack, as each rate card describes. Cash · Sorted, Trade · Sorted and Active are the sorted columns; Trade · Unsorted and Monitor take unsorted lots. A Cash lot sent unsorted is still paid in cash: we sort it, and a 10% sorting fee comes off the cash for its bulk cards (see §7). An Active lot must be sorted; an unsorted Active lot is paid at Trade · Unsorted, or at Monitor if you are a verified Monitor subscriber.
Sampling. We sample every sorted lot. If more than 5% of the sample is off, the lot is paid one column to the left (Active to Trade · Sorted; Trade · Sorted to Trade · Unsorted), and your report says so. We don't reject lots or pay partial credit for sorting. Cash is the first column, so a Cash lot stays at Cash.
Active and Monitor. These columns are for individual collectors trading their own cards, not stores or businesses. Active requires the Active role in the AVA Discord and Monitor requires an active Discord Monitor subscription, each verified by Discord sign-in when you submit. One Discord account covers one person. Your tier locks at submit, so losing a role later never lowers a lot you already submitted. If we can't verify the role at submit, the lot is paid at Trade · Sorted (if you said it was sorted) or Trade · Unsorted.
Promotions. From time to time we may run a Monitor promotion on certain lines. A promotion running when you submit locks with your lot; it is not a standing rate.
4. Counting Decides the Payout
The counts you enter on the form are an estimate and so is the starting figure it shows. Our count, sort and condition check when your lot arrives is final and sets the payout. Your report shows every line we counted so you can see how we got there.
Pull anything worth $5 or more and pack it apart from your bulk. A hit left in bulk is bulk: it is paid at the bulk rate for its row. We set hits aside with the other hits we find and list them on your report, so you can see what was there. Want hits paid as singles? Pull them out and list them as singles on your submission (same lot, packed apart from your bulk).
5. Cards We Can't Accept
We can't pay for cards that are damaged (creased, water-damaged, heavily whitened or written on), counterfeit or proxy, in a language we don't list on the Sell page, or from a game we don't buy. See the Rejects Policy below for what happens to them.
6. Rejects Policy
On the form you choose what we do with cards we can't take:
- Return to Me. We ship them back and deduct our actual shipping cost from your payout (we never mark it up).
- Donate Them. They go to Cards for a Cause, our pack-donation program for kids.
- AVA Keeps Them. We keep them at $0 to you.
Counterfeit cards are destroyed and are never returned, whatever you chose. Your report lists how many cards were set aside and why.
7. Fees
Sorting fee (Cash only). A Cash lot that arrives sorted pays no fee. A Cash lot that arrives unsorted is sorted by us, and 10% comes off the cash total for its bulk lines. Store credit lots (Trade, Active and Monitor) never pay a sorting fee: sorting only decides which column they are paid at (see §3).
Skip the line. Once your lot is within the first 50 spots in the Live Intake Queue you can give up 15% of that lot's payout to move it into the top 6. It's optional and you choose it yourself.
Deductions. Return shipping you choose (§6), skip the line (above) and any unpaid AVA Market penalty come off your payout, and each one is listed on your report.
Get With Bulk. If you picked an item to get with your lot, its AVA price when you submitted comes off your payout. We set it aside free when you submit. Ship your lot within 7 days of submitting (drop-offs: book your time), or the item goes back on sale and you get your full payout. If your lot comes up short, you choose: pay the difference or skip the item. Your payout waits for your choice; if you don’t choose within 48 hours, we skip the item and pay you. There are no other fees. Shipping your lot to us is at your cost.
8. Store Credit
Trade, Active and Monitor payouts post as AVA store credit to the customer account that matches your submission email and apply at checkout on avatcg.com, except on Trade Exclusive items, which are trade only. AVA store credit you earn from a lot does not expire, has no cash value, can't be exchanged for cash and can't be transferred, except where the law requires otherwise.
Promotional credit (for example the $25 Bulk Out welcome credit) is a gift, not a payout: it expires 90 days after it's issued, and the date is in the email that tells you about it. Who gets the $25: a seller whose first lot sent in with a Bulk Out code settles as store credit worth over $250. It's once per person and never on the code owner's own lots.
9. Shipping Risk
Your lot is your responsibility until the box is delivered to us. Pack it as shown on the Sell page, insure anything over $100, and film yourself packing and sealing the box. If a box arrives damaged we tell you right away with photos; sealed product that arrives damaged is offered at 50% of its original offer or returned to you, your choice.
10. Disputes
You have 72 hours after your report is sent to flag any line for a recount. Email ryan@avatcg.com with your lot number and the line in question and we'll recount it and reply with what we found. You can flag a line within those 72 hours even if you've already been paid. After 72 hours the count is final.
11. Privacy
We store what you give us on the form (name, email, phone, payout details, card list and notes) to run your lot, pay you and keep the records the law requires. If you used an affiliate code, that affiliate sees only the count and value of lots referred with their code, never your name or contact details. Our Privacy Policy covers the rest.
12. Governing Law
These terms are governed by the laws of the Commonwealth of Virginia. We may update them from time to time; the version you agreed to is recorded with your submission and is the one that applies to that lot.
